How to email wedding venues: templates that get replies

Venues answer enquiries that are easy to answer. Give them a date or a window, a guest count and two or three direct questions, and you get a real price back instead of a brochure and an invitation to call.
Here is what every enquiry needs, the templates to steal, and when to chase.
What every enquiry needs
- A date, or honestly, a window. 'A Saturday in September 2027, flexible' gets better answers than one immovable date.
- Your guest count, day and evening.
- At most two or three questions. Long lists get skimmed and half-answered.
- A direct ask for the thing venues avoid sending: the full price for your numbers, including VAT, in writing.
The first enquiry
Subject: Wedding enquiry, September 2027, around 80 guests
Hello,
We are looking for a venue for our wedding and love the look of yours. We are planning around 80 day guests and 100 in the evening, ideally a Saturday in September 2027, though we are flexible on the date.
Could you send your full pricing for those numbers, including VAT, and let us know which 2027 Saturdays you still have free?

Pinning down the real price
Brochures quote the venue hire; you are buying a whole day. Before a viewing, get the number that includes everything.

Thank you for the brochure. Before we book a viewing, could you confirm the all-in cost for 80 day guests on one of those September dates: venue hire, your food and drink package, and anything that sits outside it, such as corkage, service charge or supplier meals?
We are comparing venues like for like, so a written breakdown would help a lot.

The pricing works for us and we would love to see the venue in person. Could we visit in the next couple of weeks? Weekday evenings and Saturday mornings suit us best.

The follow-up
Most venues reply within two to five working days; wedding enquiries queue behind this weekend's weddings. After a week, send one short nudge.

Just checking this reached you. We are hoping to shortlist venues by the end of the month, so a quick word on pricing and availability would be really helpful.
If the second email also goes unanswered, that is your answer. A venue that cannot reply to a paying enquiry will not be quicker with your questions once the deposit has cleared.

Should we tell venues our budget?
Give them your guest count and ask their price, not the other way round. Volunteering a number invites a quote that spends all of it. Share the budget once you are negotiating with a venue you actually want.
How many venues should we contact?
Eight to twelve enquiries gives real comparison without drowning your inbox. Expect a handful of useful replies, three to five viewings, and one venue.
What if a venue will only talk on the phone?
Take the call if you like the venue, then ask them to confirm everything discussed by email. Prices that only exist out loud have a way of changing.
